Operations & Events Coordinator
FRI’s Operations team maintains the core infrastructure that keeps the wider team focused on their highest-impact work and acts as a force multiplier for every project and team member. As our portfolio grows, we’re looking for an Operations & Events Coordinator to take ownership of the day-to-day logistics that keep our events, hiring, and project coordination running smoothly. There is room to develop ownership and help shape these areas, where it’s a good fit.
The role
The exact scope will depend on your skillset, with events, hiring, and project operations making up the largest share. Example tasks include:
- Planning and executing three week-long staff retreats per year, including venue research, vendor coordination, agenda design, logistics, and on-site support
- Administering org-wide virtual meetings, such as our research discussion series and monthly social calls
- Acting as the first point of contact for candidate queries, supporting hiring workflows, including screening initial applications, and maintaining applicant tracking records
- Providing direct operational support to research projects, such as communicating with research participants and managing publication outreach
- Tracking project statuses and capacity
- Keeping our project summaries and other cross-organizational resources current, and improving how that’s done
- Other small administrative tasks as needed
Our small Operations team regularly steps outside of their specific areas of responsibility to support our highest priorities. As a rule of thumb, you can expect your day-to-day work to be made up of 70% of your regular scope and 30% cross-cutting work.
Qualifications
We’re looking for someone who has:
- Strong organizational skills and attention to detail
- A track record of taking initiative and owning projects from start to finish
- Clear, explicit communicator with fluency in English
- Strong writing and numeracy skills
- The ability to work productively in a self-directed, remote environment
- Comfort taking on new challenges and learning new tools – we particularly value proactive and effective use of time-saving tools such as automated workflows and LLMs
- The ability to keep multiple workstreams moving at once, including tracking deadlines, juggling competing priorities, and keeping stakeholders informed
We believe people with a range of experience levels could thrive in this role, and we’re glad to consider entry-level candidates who demonstrate strong potential. The ideal candidate would also have the following characteristics, but do not let this list prevent you from applying:
- Proficiency with Google Workspace and project-management software such as Asana
- Experience planning and running in-person events, including vendor coordination and budget management
- Experience working in a scientific research, nonprofit, or other mission-driven environment
- A track record of improving systems and processes, not just running them

The fine print
Role details
- We prefer full-time but are open to part-time roles for the right candidate.
- The salary reference for this role is $72k for someone based in a major US city. The range is $64,800–$79,200, depending on location.
- This role is remote-first. You must be able to attend three week-long staff retreats (held in the US and EU) per year in person, as executing the retreats is a core responsibility for this role.
- Team members can work whichever hours of the day work for them, but must be consistently available between our core hours of 11 am and 3 pm ET.
- We are able to hire people in most countries, provided they have pre-existing work authorization for that country. Team members based outside the U.S. will be employed through an employer of record (EOR) service in their country of residency.
- We provide 80% contribution towards fully-funded health insurance for staff, 30 days per year of paid time off (including public holidays), 10 days of paid sick leave, and a homeworking budget, among other benefits. Exact benefits may vary based on local requirements.
